WHAT WILL YOU DO
The Specialist, Retail & Hospitality – Leasing and Contracts plays a pivotal role in supporting the commercial and retail operations team by managing the full lifecycle of leasing agreements due to the increased volume of renewals for the International Terminal Building and other net new contracts. This includes drafting, processing, and overseeing approvals for leases, licenses, and amendments. This role ensures the integrity and accuracy of agreement data across systems such as Propworks, while also managing workflows for new and expiring agreements. This is a project specific role which will provide support to the team due to a high volume of leasing renewals upcoming. This role will also support the execution of any new and expiring agreements within the domestic terminal building.
Acting as a key liaison between Retail Managers, tenants, legal counsel, and internal departments, the Specialist facilitates negotiations and ensures compliance with corporate policies and regulatory requirements, including Transport Canada’s Security & Emergency Preparedness Plan. The position also supports space rationalization, conducts tenant audits, and collaborates with finance and accounting teams to maintain accurate lease and tenant records.
This role demands strong organizational skills, attention to detail, and the ability to manage multiple stakeholders in a fast-paced, compliance-driven environment.
WHATS THE TEAM LIKE
The Retail and Hospitality Development team is responsible for leading and developing the airport terminal commercial, hospitality and retail landscape at YYC. This means looking for creative new concepts to deliver the best shopping, dining, and service’s options at one of Canada’s busiest airports. WHAT ARE SOME OF THE RESPONSIBILITIES
- Handle all leases, licenses, and agreements for the retail and hospitality team new and expiring arising from the International Terminal Building, other net new contracts and support the team identify revenue opportunities.
- Review and identify any terms and conditions that may pose risk to the organization
- Periodically support with tenant audit practices to ensure compliance and prevent security breaches.
- Assist Accounting with the creation of new agreements and tenants within Propworks.
- Negotiation Facilitation: Collaborate with Retail Managers to negotiate and complete leases, renewals, and amendments, coordinating with airport legal counsel.
- Drafting Agreements: Draft and review new and expiring leasing agreements, extensions, and renewals in collaboration with legal and retail managers prior to execution supporting renewal of agreement arising from the International Terminal Building and other net new contracts.
- Support the Retail Managers with identifying new potential revenue opportunities that may arise from reviewing new or expiring agreements.
- Support with negotiation and execution where needed
- Ensure compliance with guidelines and implement the Supply Chain Management Program to meet Transport Canada Security & Emergency Preparedness Plan requirements.
- Responsible for the storage, updating, accuracy and integrity of agreements in all systems (e.g., Propworks)
- Proper storage management, governance and accessibility of leasing contracts
- Ease of access for GM and Managers of leases and contracts
- Support Propworks data entry, ensuring accurate documentation of lease terms and maintaining data integrity.
- Liaison Duties: Act as a liaison between Retail Managers, General Manager, tenants, and YYC’s legal department for execution of new and expiring agreements.
- Cross Functional Team Collaboration: Work with internal and external partners for daily consultation and joint decision-making with respect to expiring and new agreements
WHAT DO YOU NEED TO BRING
- The ability to gain and maintain a RAIC (RAIC Program and Application Information)
- Role requires a Post-secondary Diploma in Business Administration, Real Estate, or related field
- 3 to 5 years of experience in a similar role with demonstrated experience managing leases and supporting negotiations.
- Demonstrated experience reviewing lease agreements for financial and strategic opportunities.
- Proven ability to manage full agreement workflows, including initiating, revising, and completing contracts.
- Experience in supporting negotiation processes and collaboration with legal and commercial teams.
- Sound knowledge of contract law, commercial leasing practices, and lease agreement structures.
- Understanding of landlord-tenant relationships, including obligations of both parties under lease provisions.
- Familiarity with financial pro-formas, including basic financial math such as calculating net present value to evaluate lease viability.
- Awareness of tenant fit-out/development procedures and business assignment or sale practices.
- Understanding of airport operational policies and procedures, particularly in a regulatory or commercial property context.
- Foundational knowledge of budgeting and accounting, including the ability to interpret financial statements and maintain accurate records.
- Basic negotiation capabilities to assist in contract discussion and resolution.
- Excellent Microsoft Office Proficiency (Word, Excel, Powerpoint, Outlook) skills to amend, prepared and edit new or existing lease agreements and contracts.
- Outstanding Data Analysis & Interpretation skills to review terms and conditions of lease agreements and interpret clauses which could present revenue generating opportunities.
